What Purse is

How a purchase moves through Purse, from request to approval, order, receipt and invoice.

Purse keeps the record of what your business buys: what someone asked for, what was approved, what was ordered, what arrived and what the supplier invoiced. It is for one business buying from suppliers it knows, and it runs on your own computer with no outside account.

How a purchase moves

  1. Request. Someone with the requester capability drafts a purchase request: the supplier, the lines with their quantities and prices, freight, supplied tax and the supplier's terms. Supplied quotes and evidence files sit beside it.
  2. Approval. The request is submitted for approval. The approval policy that matches its category, project and amount names the approver, who approves, returns or rejects it with a reason.
  3. Purchase order. A buyer generates a numbered purchase order (PO-000001 and so on) from the approved lines, downloads the printable document and records when it was issued.
  4. Receiving. A receiver records what arrived, line by line: received, rejected, returned or cancelled, each with a reason. Every line shows what's ordered, accepted, cancelled and still outstanding.
  5. Invoice. A buyer records the supplier's invoice against the order lines. Purse shows any price difference, quantity mismatch or receipt shortfall, and the accounting CSV is ready to download.

What you approve is what gets ordered

An approval binds the exact revision of a request. Change the supplier, a quantity or a price and Purse makes a new revision, which needs approval again. Earlier revisions, decisions and issued documents stay in the record.

Money and quantities

  • Enter amounts as currency text, for example 5,148.00 for AUD 5,148.00; Purse stores them in exact minor units.
  • Quantities go to three decimal places.
  • Each currency is kept apart. Purse never adds AUD and USD together and never converts between them.
  • Purse uses the tax the supplier gives you. It does not work tax out.

What Purse leaves to you

Purse sends nothing to suppliers: you send the purchase order through the channel you already use and record that you did. It makes no payments and posts nothing to your ledger; the accounting CSV is the hand-off to your bookkeeping.
