Everyday purchasing
Overview, preparation and audit
What's still owed in each currency, human-written preparation drafts, and the audit history.
The Overview
The Overview is the first tab everyone sees. Under the business name it shows:
- Outstanding commitments, one card per currency: what's approved and ordered but not yet received or cancelled.
- Awaiting approval: how many requests are pending.
- Overdue receiving: issued orders past their need date with something still outstanding.
- Supplier renewals, soonest first.
Before the business is set up it shows Your purchasing workspace and Set up business, which opens Settings.
Preparation
The Preparation tab is for getting the next action ready by hand. Choose a Workflow:
| Workflow | For |
|---|---|
| intake | A new need: the evidence, supplier, quantity, project and need date |
| rfq | Asking nominated suppliers for offers by a deadline |
| renewal | An agreement coming up for renewal: keep, change or cancel |
| exception | A problem with an order, receipt or invoice |
| negotiation | Your price and term bounds for a known counterparty |
Fill in what you know, link a Source record if there is one, and write the Editable draft. Choose Save preparation. Purse lists what's still missing, keeps each version, and lets you Download draft. People write these drafts; Purse sends nothing and binds no one.
Audit history
The owner's Audit tab lists every change: When, the Actor, the Action, the Record and the Reason. It includes imports, decisions, receipts and custody claims after a restore.
