Everyday purchasing

Suppliers and the catalogue

Keep known suppliers with their contracts and renewals, and approved reference prices.

Buyers keep the suppliers and the approved catalogue. Both tabs appear for anyone with the buyer capability.

Known suppliers

The Suppliers tab lists every supplier with its status, reason and renewal date. Choose Open to edit one, or fill in Add supplier:

  • Supplier name and Status: active, preferred or blocked.
  • Reason: why it has that status.
  • Contact name and Contact email.
  • Contract reference and Renewal date.

Choose Save supplier. Upload agreements and certificates under the supplier's Evidence files.

A blocked supplier can't be chosen on a new request or quote. Requests and orders keep the supplier's details as they were when approved, so later edits to the supplier don't change them.

Renewal dates appear on the Overview under Supplier renewals, soonest first.

The approved catalogue

The Catalogue tab keeps reference prices for things you buy often. Each item has a description, a supplier, a currency, a Reference price entered as currency text (for example, 1,250.50 for AUD 1,250.50), a category and whether it is Approved.

When someone drafts a request, they can pick an approved item: its description, price and category are copied into the line. Changing the catalogue later doesn't change requests already made or approved.
